Data migration

Move to TopTill without starting from zero

Re-typing thousands of products is slow and full of mistakes. TopTill can help assess and migrate your product catalogue from an older retail system.

Supported files

CSV, XLSX and DBF

Many retail systems can export to one of these formats, and many older systems already store product data in DBF tables.

CSV

Comma-separated exports from almost any system or spreadsheet.

XLSX

Excel workbooks, including product lists kept in Excel.

DBF

dBase / FoxPro-style DBF tables used by many older retail systems.

What can come across

Your catalogue, not just a list of names

  • Product names
  • Barcodes
  • SKU / product codes
  • Cost prices
  • Selling prices
  • VAT classification
  • Categories, where they are usable
  • Suppliers, where they are reliable
  • Opening stock, when the old stock figures can be trusted

Every legacy system is different. Compatibility depends on the source data, so we assess your data before migrating. We'll tell you plainly what can be brought across and what can't — before anything is imported.

The process

A careful migration, step by step

  1. 1

Copy or export your old data

We take a copy of your old POS data, or you export product lists to CSV or Excel. Your old system is not changed.

  2. 2

    Inspect the files

We look at what your files actually contain and how clean the data is.

  3. 3

    Map the fields

Each column from your old system is matched to the right TopTill field. The mapping can be saved for repeat imports.

  4. 4

    Validate before importing

Every row is checked first — duplicate barcodes, missing prices, invalid VAT and more — so problems are fixed before they reach your till.

  5. 5

    Create a recovery backup

A backup is made immediately before importing, so the store can be returned to how it was.

  6. 6

    Import

The checked catalogue is imported into TopTill.

  7. 7

    Verify products and barcodes

Spot-check products, prices and barcodes at the till before you trade.

  8. 8

Do a fresh stock count if needed

If the old system's stock figures can't be trusted, start with a fresh count rather than importing wrong stock.
